4. Making a Booking
A booking becomes confirmed only after:
- The required booking information has been provided.
- Availability has been confirmed.
- The applicable payment or deposit has been received.
- ViK Tours & Travel has issued confirmation of the booking.
By making a booking, you confirm that the information you provide is accurate and complete.
5. Payments
Customers are responsible for making payments within the timelines communicated by ViK Tours & Travel.
Certain bookings may require a deposit or full payment before confirmation.
Failure to make payment within the agreed period may result in cancellation of the reservation or loss of availability.
Any applicable bank charges, transaction fees, taxes or supplier charges may be payable by the customer where communicated in advance.
6. Tour Packages

Depending on the package, inclusions may include accommodation, meals, transportation, excursions, activities, entrance fees or other services.
Unless expressly stated, personal expenses, travel insurance, visas, medical expenses, tips and other incidental costs are not included.
Customers are responsible for reviewing the itinerary and inclusions before making payment.
7. Flight and Travel Ticketing
Flight and other travel tickets are subject to the rules, conditions and restrictions of the relevant airline or transport provider.
Changes, cancellations, refunds, baggage allowances and rebooking are governed by the applicable carrier’s terms and conditions.
ViK Tours & Travel will assist customers where possible but cannot guarantee refunds, changes or rebooking where these are restricted by the carrier.
Customers are responsible for providing accurate passenger information before tickets are issued.
8. Hotel and Accommodation Bookings
Accommodation bookings are subject to availability and the terms and conditions of the respective hotel, resort, lodge or accommodation provider.
Check-in and check-out times, cancellation policies, deposits, meals, room categories and additional charges may vary between properties.
ViK Tours & Travel is not responsible for services or facilities that are controlled exclusively by the accommodation provider.
9. Car Hire
Car hire services are subject to the terms of the relevant vehicle provider.
Customers may be required to provide a valid driving licence, identification, deposit or other documentation.
The customer is responsible for complying with applicable traffic laws and the agreed vehicle-use conditions.
Any damages, traffic fines, fuel charges, excess charges or other costs arising from the customer’s use of a vehicle may be charged in accordance with the applicable car-hire agreement.
10. Cancellations, Changes and Refunds
Cancellation and amendment terms vary depending on the service booked and the supplier involved.
Some bookings may be fully or partially non-refundable.
Where a refund is approved, the amount refunded will be subject to the applicable supplier’s cancellation policy, contractual terms and any legitimate charges.
ViK Tours & Travel will communicate applicable cancellation and refund conditions before or at the time of booking where reasonably possible.
11. Travel Documents and Requirements
Customers are responsible for ensuring that they have valid travel documents and meet all applicable travel requirements.
Depending on the destination, this may include:
- Valid identification or passport.
- Visas and permits.
- Vaccination or health documentation where applicable.
- Valid driving licences.
- Travel insurance.
- Any other documents required by authorities, airlines or service providers.
ViK Tours & Travel may provide general guidance but cannot guarantee approval of visas, permits or entry into any country or destination.
12. Travel Insurance
Customers are encouraged to obtain appropriate travel insurance covering matters such as trip cancellation, medical emergencies, baggage loss, personal accidents and other travel-related risks.
Unless specifically included in a confirmed package, travel insurance is the customer’s responsibility.
13. Third-Party Service Providers
Some services arranged through ViK Tours & Travel are provided by independent third parties, including airlines, hotels, transport companies, guides, activity providers and other suppliers.
We carefully work with service providers but do not control their operations.
Their services may be subject to separate terms and conditions.
14. Changes to Itineraries
We may need to modify an itinerary due to circumstances such as weather, road conditions, safety considerations, government restrictions, supplier changes, availability or other circumstances beyond our reasonable control.
Where a significant change is necessary, we will make reasonable efforts to communicate the change and provide an appropriate alternative where possible.
15. Force Majeure
ViK Tours & Travel will not be responsible for failure or delay in providing services where caused by circumstances beyond our reasonable control.
Such circumstances may include natural disasters, extreme weather, pandemics, war, civil unrest, strikes, government restrictions, changes in travel regulations, transport disruptions, security incidents or other events that could not reasonably have been prevented.
16. Limitation of Liability
To the extent permitted by applicable law, ViK Tours & Travel will not be liable for losses arising from circumstances outside our reasonable control or from the acts or omissions of independent third-party service providers.
Nothing in these Terms & Conditions excludes or limits liability that cannot lawfully be excluded or limited under applicable law.
